Under the direction of an assigned administrator, performs a variety of complex and responsible, and research duties to support management in the administrative details of the workers' compensation program or function.

SUPERVISION RECEIVED AND EXERCISED

Receives general supervision from Vice President of Human Resources and Risk Management.
  1. Administer legal and procedural requirements for processing claims including submission of required forms, i.e., DWC-1, 5020 form, etc. Provide requested miscellaneous documents to the third party administrator.
  2. Conduct effective employee interviews to collect information related to a workers' compensation claim.
  3. Oversee and monitor an injured workers return to work by coordinating with the department and employee modified duties that are compliant with the employee's restrictions.
  4. Continually assess employee progress and coordinate with employee, physician, department, and the third party administrator as needed. Prepare memos and correspondence to employee, physicians, department, and the third party administrator for workers' compensation claims.
  5. Assemble appropriate medical information and/or facts regarding claims pending litigation or department consultation.
  6. May serve as liaison between Injured Worker, District personnel, third party administrator and legal counsel regarding claim status and resolution of claim.
  7. Administer and monitor workers' compensation account transaction register and case reserves. Maintain timeline compliance in accordance with settlement agreements resolved through litigation and/or Workers' Compensation Appeal Board.
  8. Prepare contract, enter requisitions, and process payments for variety of aspects relative to Workers' Compensation. (ie: Run-off Claims Administration Fee, PIPS, settlement agreements, misc. vendors) .
  9. Prepare and file annually the CalOSHA 300 report including but not limited to all necessary forms, records, and documentation for all worker's compensation claims. Post reports in designated locations. May be required to prepare and submit documents requested by CalOSHA for announced/unannounced inspections.
  10. Process total temporary disability (TTD) checks from the third party administrator through Fiscal Services. Including preparing timeline applying sick leave, supplemental sick leave, vacation, comp time, donated sick leave, and leave without pay calculations for individuals on Total Temporary Disability.
  11. Coordinate with department to offer planning and training aimed at reducing the incidence of workers' compensation related injuries on campus.
  12. Coordinate ergonomic evaluations including scheduling, purchase of item, delivery, set-up, and coordination of installation of recommended items.
  13. Enter requisitions for annual purchase orders for ergonomic evaluation items. Monitor expenses and make decision to increase purchase order throughout the year to meet needs.
  14. May make general ergonomic assessments for District personnel.
  15. Assist with Districts Benefit and Leave program. General knowledge of benefit and leave information to assist employees in the absence of the Benefits and Leave Analyst. May assist with annual events such as open enrollment or employee health fair.
  16. Maintain confidential records, document claim file, interpret and effectively communicate policies and procedures.
  17. Compile and present information on work-related injuries and/or ergonomic issues relative to the District in a public setting using a variety of resources.
  18. Prepare and distribute Annual Notice.
  19. May oversee student workers.

Education and Experience Requirements:

An Associate's Degree or equivalent from an accredited college or university with major course work in business, human resources or a related field; and two (2) years of increasingly responsible administrative experience preferably in workers' compensation.

OR

Completion of the twelfth grade or the equivalent; and four (4) years of increasingly responsible administrative experience preferably in workers' compensation.
