Assignment: April – June 2021

SALARY CL-27: $3,314 (Step A)

The compensation shall be paid at the step of the higher classification which is at least five (5) percent greater than the bargaining unit member's monthly salary, including any longevity increment.

DEPARTMENT: Counseling
START DATE: April 2021
STATUS/ASSIGNMENT: Temporary/Approximately 3 months
SCHEDULE/HOURS: Monday – Friday / 7:30 a.m. to 4:30 p.m.

SUMMARY: Under the direction of an assigned supervisor, perform specialized and complex clerical and technical duties involved in providing assistance to students in assigned Student Services areas.

ESSENTIAL FUNCTIONS
- Perform a variety of specialized and complex clerical and technical duties independently in support of assigned area, such as posting records, data entry and retrieval, clearing prerequisites on students, researching, and compiling, recording, tracking and verifying information from a variety of sources.
- Provide a wide variety of information and assistance to students regarding transfer requirements, graduation requirements and selected major requirements according to established guidelines and procedures.
- Provide technical assistance and information to students regarding records, registration, Extended Opportunities Programs and Services (EOPS), career, interest, aptitude test or counseling services; refer students with professional needs to a counselor.
- Explain college and counseling policies and procedures to students; schedule counseling appointments and maintain related records.
- Train and provide work direction and guidance to student and part-time workers.
- Assist students in the use and referral of the Career Center, library, job placement and financial aid and other student services areas.
- Obtain district and other college transcripts for counselors utilizing filing and data processing systems.
- Disseminate brochures and applications for college programs, articulation agreements, microfiche and college catalogs; assure college entrance exam applications are available. Produce and maintain web pages, brochures, flyers, booklets and other material, which support assigned area.
- Maintain files on waived tests, microfilm and college file for state colleges, community colleges and other universities.
- Operate a variety of office equipment such as personal computers, calculators, copiers, printers, microfiche and microfilm readers and printers, word processors, and other office equipment keeping current with technological changes.

SECONDARY FUNCTIONS
- Compile, prepare and maintain statistical and other reports and records as assigned; prepare letters and other correspondence.
- Order materials for counselors and other staff as necessary.
- Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations.
- Maintain currency of qualification for area of assignment.
- Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF
- Rules, regulations, procedures, policies and functions of assigned student services area.
- Modern office practices, procedures and equipment including telephone techniques and etiquette.
- Recordkeeping techniques.
- Correct English usage, grammar, spelling, punctuation and vocabulary.

ABILITY TO
- Provide a wide variety of information and assistance to students regarding transfer requirements, graduation requirements and selected major requirements according to established guidelines and procedures.
- Interpret rules, regulations and policies regarding assigned student services area.
- Learn applicable sections of the State Education Code and other applicable laws.
- Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position.
- Communicate effectively both orally and in writing.
- Analyze situations accurately and adopt an effective course of action.
- Establish and maintain cooperative and effective working relationships with others.
- Plan, organize, and complete work with many interruptions; meet schedules and timelines.
- Train and provide work direction to others; assign and review the work of others.
- Perform mathematical calculations quickly and accurately.
- Maintain files and records.

EDUCATION
Graduation from high school or equivalent supplemented by specialized college-level course work.

EXPERIENCE
Increasingly responsible experience in a student services area.

WORKING CONDITIONS
College student services office. Assignment requires working alone during evening hours and may require standing for long periods of time while assisting students; subject to constant interruptions and frequent interactions with students, staff and the public.
