Job Description:



  • Position Code: STLTC

  • Job Type: Full-time

  • Hours: 8:30 am to 5:00 pm, some evenings

  • Schedule: Monday through Friday, some weekends

  • Position Location: Longmeadow, MA Campus


The Student Life and Transportation Coordinator will provide support for the Student Life department and is responsible for logistics related to transportation services. The Coordinator will serve as a primary point of contact for Student Life. Under the supervision of the Dean of Students, the Student Life Coordinator's primary responsibilities include providing high level administrative support to the Dean of Students; compiling and sending communications related to the department including website, student portal and official publications updates; managing resources and expenses; performing data entry; and overseeing student/community transportation, including hiring and oversight of shuttle drivers and vans, requests for and scheduling


ESSENTIAL JOB FUNCTIONS:



  • Answer incoming telephone calls to Student Life, screen calls, and refer to appropriate department or person.

  • Greet all visitors and direct them to the appropriate department or personnel to best assist them.

  • Maintain the Dean of Student's daily calendar of appointments.

  • Input and maintain both residential life and student activities data in Jenzabar.

  • Maintain accurate and confidential student records.

  • Maintain the division's calendars for planning.

  • Communicate regularly with Student Life staff to ensure they can be reached when necessary.

  • Process forms and other paperwork for the Dean.

  • Compile, manage, and distribute meeting minutes and other communications as necessary. Support management of the Student Information Desk as necessary, specifically the distribution of student pay checks and student mail.

  • Responsible for maintenance and/or completion of departmental request forms; purchase orders food service,

  • Hire, contribute to training, oversee and evaluate van shuttle drivers

  • Maintain policies and processes for coordination of University van shuttles, including a schedule that responds to student needs for athletics, cross-campus transportation, co-curricular experiences, and social activities.

  • Coordinate with HR, facilities and other applicable areas for upkeep of van(s) related to University insurance coverage

  • Coordinate and serve as a resource for community service events and volunteer opportunities

  • Coordinate the travel arrangements and itinerary for the One America Trip ,for the Marcia Conrad Award ceremony, and other events.

  • Maintain the calendar for the Dance Studio.

  • Order office supplies for the division.

  • May require attendance/assistance at campus events at non-traditional hours.

  • Assist with departmental budgets, process accounts payable and reconcile monthly divisional credit card statement.

  • Assist with miscellaneous administrative tasks for student life staff as time allows.

  • Attend training's as required.

  • Perform any other duties or tasks as assigned by the University.



Requirements:



  • Bachelors Degree.

  • Excellent administrative, project management and organizational skills.

  • Experience in event coordination.

  • Experience supervising others.

  • Highly responsive to student needs.

  • Learner-focused leader with a deep understanding of and passion for student life and associated best practices in the context of higher education.

  • Highly-motivated self-starter who can take initiative.

  • Demonstrated experience using tact and sensitivity in dealing with confidential matters and within FERPA and HIPPA guidelines.

  • Knowledge of issues relevant to residential and commuter college life, including student development.

  • Working knowledge of basic desktop applications including databases, word processing, spreadsheets (Word, Excel, PowerPoint).

  • Ability to adhere to University policies and procedures.

  • Ability to handle confidential information with discretion.

  • Should be committed to a culture of diversity, respect and inclusion; demonstrated ability to build working relationships with people having a wide variety of backgrounds, perspectives, and experiences different from ones' own.

  • General knowledge of the University's mission, purpose, and goals and the role this position plays in achieving those goals.
