Job Summary:
The office of Records & Registration at Eastern Washington University is currently seeking skilled and team-oriented applicants for our Registrar position.

Reporting to the Assistant Vice President of Student Success, Policy and Planning, the Registrar serves as the primary professional engaged in maintaining and improving critical functions of Records and Registration. This position works with faculty and executives to evaluate and improve policy for the goal of assisting students, faculty, and staff in support of the University's continuous effort to improve retention and degree attainment. This position also provides leadership pertaining to the degree audit and graduation check out process. These efforts, taken as a whole, create systematic efficiencies that improve student success while maintaining high academic standards.

The Registrar supervises various professional staff and has significant authority over administrative processes and determining strategic deployment of technological tools used to support enrollment, scheduling, and academic advising. This position will also oversee business process analysis and improvement as directed by the Assistant Vice President. Additionally, this position supervises processes related to transcript and diploma requests, student athlete eligibility reporting, residency, course registration, grading, final exam schedules, and other student record related processes. This position sets and enforces course scheduling guidelines and the catalog publication timeline in collaboration with University executives.

This position serves as unit authority over academic records and is responsible for compliance with FERPA regulations. In addition, this position represents Academic Affairs' interests at various committees and councils, including but not limited to Exceptional Circumstance Withdrawal Committee, Washington State Residency Appeals Committee, and various other external state level committees.

Required Qualifications:
  • Masters degree in education, public administration, social services or related field.
  • At least three years full time administrative work experience in a higher education setting; to be considered qualified, experience must include the following:
    • Experience facilitating and/or leading for process improvement initiatives.
    • Service on at least one faculty and/or policy setting committee.


  • Demonstrated ability to analyze complex data used for forecasting and preparation of reports.
  • Experience with Family Educational Rights and Privacy Act (FERPA).
  • Candidate must demonstrate interest, ability and/or experience promoting cultural competency, universal accessibility, and/or diversity.


Preferred Qualifications:
  • Management and/or leadership of higher education Records and Registration Office.

Job Duties:

Responsibility / Duty: Enforce Academic Guidelines
  1. Approve course section schedule change requests
  2. Monitor course enrollments
  3. Set course scheduling rules for increased utilization of campus resources
  4. Resolve enrollment restrictions by improving enrollment policies and procedures
  5. Improve time to degree by opening access to courses through the identification and removal of unnecessary prerequisites or registration restrictions
  6. Evaluate academic policy based on national, state, or local trends
  7. Implement policies that support timely graduation
  8. Serves as the FERPA compliance officer for the University
  9. Serves as the data custodian of student records for the University and serves on the Data Management Committee (DMC)
  10. Approve student-athlete eligibility per term in partnership with Faculty Athletics Representative and Athletics staff
  11. Enforce compliance with academic policy time limits regarding courses offered experimentally, as seminars, or that have exceeded the "sunset" period
  12. Ensure accuracy of curricular content in the catalog
  13. Set catalog publication timeline in partnership with stakeholders

  1. Oversee hiring and training of highly qualified staff
  2. Review job descriptions and ensure positions performance expectations incorporate goals and expectations aligned with the goals of the unit.
  3. Set goals and expectations for the unit
  4. Review and approve requests for leave
  5. Review performance of team members and provide positive corrective action when needed
  6. Provide regular check-ins with all staff members
  7. Prepare and monitor office budget

  1. Analyze academic policies for deficiencies in operational effectiveness
  2. Determine consistency of data standards
  3. Evaluate the effective use of administrative tools, such as but not limited to: CourseLeaf, Banner, and Degree Works
  4. Evaluate administrative processes for efficiency and appropriate sequencing of decision-making steps
  5. Research data and National trends to EWU to inform policy audit and revision efforts
  6. Proactively collaborate with sister units such as: Academic Advising, Institutional Effectiveness, Student Affairs, and others to address systems and structural components impacting student success

Conditions of Employment:
This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value, as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. Salary Information: The salary for this position is $88,625 (minimum) up to $106,349. Where the hired candidate will begin within this range is dependent on education, experience, and skills.
