Job Summary:
The Orange County Campus Office Manager provides operational, administrative, and project support to the Orange County Campus Director and staff, as well as faculty and staff affiliated with the Sport Management program there.

The Office Manager is responsible for administrative duties, database management, facilities management, and customer service for current and prospective students, faculty, staff, and alumni. This individual may also assist with admission and enrollment services to students and their families.

The Orange County Campus Office Manager reports to both the Orange County Campus Director and the Associate Director of the Master of Arts in Sport Management program (Orange County).

Full Job Description:
For the campus as a whole, the Office Manager will spend 50% of his or her time in the following ways:
  • Provides primary reception functions, including answering phones, greeting visitors, scheduling appointments, routing mail, and other duties as assigned;
  • Receives, reviews, responds to and/or redirects phone, email, or in-person messages as appropriate;
  • Provides administrative support for Orange County Campus staff;
  • Maintains and monitors inventory of marketing, classroom, and office supplies;
  • Provides general program information to prospective students and visitors;
  • Manages information systems for the branch campus;
  • Collects statement of interest (SOI) data and enters information in the Enrollment Management Tool (EMT);
  • Maintains and monitors EMT information;
  • Develops campus mailing lists and prospective/current student e-mail lists and coordinates direct mail campaigns;
  • Processes admission applications and other associated materials as necessary, and forwards materials to the Office of Strategic Enrollment Management;
  • Maintains records of enrollment-related activities;
  • Creates and updates in-house/other forms as needed;
  • Works with property manager and service providers to implement and solve problems;
  • Coordinates repair and maintenance work;
  • Maintains financial record-keeping systems;
  • Prepares, processes, and provides payment verification for purchase orders/requisitions;
  • Assists with registration, campus orientations, and information meetings for both students and faculty;
  • Assists students and faculty with classroom equipment and supervises equipment reservations;
  • Monitors classroom availability and faculty assignment schedules (including program, course, day, classroom, etc.);
  • Participates as a member of a team that is seeking to meet enrollment goals for the campus;
  • Actively participates in regularly scheduled team meetings; and
  • Performs other duties as assigned.


The Office Manager will spend 50% of his or her time providing the following support to the Sport Management program:
  • Provides administrative support to faculty and staff;
  • Serves as a resource to students and faculty members;
  • Provides office coverage on the nights that Sport Management holds classes;
  • Assists with the development and implementation of the current fiscal year's student recruitment/outreach and marketing plans;
  • Responds to phone calls and emails from prospective students;
  • Assists in the publication of the bi-annual program newsletter;
  • Coordinates and organizes special events such as the new student orientation and various alumni socials; and
  • Performs other duties as assigned by the Associate Director for the Master of Arts in Sport Management program (Orange County).
Minimum Requirements
  • Bachelor's degree, or equivalent work experience;
  • Three years of administrative experience, preferably in an academic environment.
  • Strong customer service orientation and experience is required;
  • Ability to work independently, establish priorities, and meet deadlines;
  • Demonstrated ability to work effectively as a team member and with a diverse community;
  • Ability to analyze and to interpret data;
  • Excellent operational, interpersonal, and oral/written communication skills;
  • Proficiency in the Microsoft Office Suite, particularly with creating, revising, and manipulating documents in Word, Excel, and PowerPoint;
  • Ability to work some evenings and weekends; and
  • An understanding of, and commitment to support, the vision, mission, and values of the University.
