DESCRIPTION

This position reports to the Assistant Dean for Student Affairs.The established work schedule includes Monday through Friday 8:00 am-4:30 pm; one weekend a month to work Saturdays 6:00 am-12:00 pm and Sundays 3:00 am-12:00 pm. Duties include frequent contact with some of the five-hundred (500) plus flea market vendors, scheduling and overseeing a small staff of daily assistants and large staff of market day assistants and supervisors, supervising collection and deposit of income from monthly vendor ticket sales, acting as liaison between the market and college offices and staff, serving as the secretary to the Flea Market Board of Directors, and supporting Student Affairs department projects as necessary.The environment is busy and there is noise; heavy telephone and in-person contact with vendors, students, and the public.



EXAMPLE OF DUTIES

1. Coordinates, supervises, and accounts for all aspects of flea market/auxiliary operation including staffing, policy and procedure application, funds management.
2. Evaluates effectiveness of programs and services in consultation with Chair of the Board of Directors.
3. Advises Flea Market Board of Directors, the Board Chair, student leaders, and College administration of progress and problems of flea market operations with regard to goal of producing income for student and student program benefits specified in the bylaws.
4. Supervises the budget, including accounting for all income and expenditures. Maintains records and prepares staff payroll.
5. Coordinates compliance with and enforcement of state laws related to permitting of sellers and prevention/removal of prohibited merchandise. Files reports as required by law.
6. Plans, designs, and produces effective public relations campaigns including press releases for print and broadcast media, signs, brochures, and selected promotional items.Initiates campaigns as needed.
7. Coordinates extensive vendor waiting list consistently, fairly, and objectively. Contacts listed individuals regularly for updates.Maintains files.
8. Supervises market staff including on-site supervisors, ticket and fee collectors, and set-up maintenance crews.Selects, evaluates, and in consultation with the Flea Market Board Chair, recommends terminations to the Board of Directors.
9. Coordinates vendor relations with regard to rule enforcement, provision of benefits, effective human relations, timely and accurate information, friendly and fair procedures, and anticipation of needs.
10. Implements and follows-up on application of the rules, regulations, policies, procedures, bylaws, goals, objectives and resolution of the Flea Market Board of Directors, its governing documents, and/or the Chair of the Board of Directors.
11. Acts as liaison between College staff, offices, and organizations and the flea market. Maintains effective human relations. Initiates communication frequently. Resolves disputes and other problems.
12. Identifies needs and secures authorization for, and acquires equipment, materials, supplies, and services for market and office operations.
13. Serves as secretary to the Flea Market Board of Directors.Performs requested research, prepares agenda packets, prepares quarterly and annual financial statements, produces minutes, processes inquiries.
14. Takes on and completes other assignments as may be directed by the Chair of the Flea Market Board of Directors and the Board itself.
15. At the request of a supervisor, shall perform a variety of unscheduled duties normally and traditionally performed by a Flea Market/Auxiliary Coordinator.


EDUCATION AND EXPERIENCE:
An Associate's Degree in, preferably, business, supervision, entrepreneurship, or related field and one year increasingly responsible experience coordinating a functional unit, supervising a volunteer operation, or performing related duties and responsibilities.

KNOWLEDGE AND ABILITIES:
Knowledge of computer use and associated software programs; compliance with state and other regulations regarding vendors, substantial records and file management; substantial policy and procedure administration and enforcement. Carrying out monthly advertising campaigns. Computer keyboard proficiency. General use of electric vehicles. Ability to prepare written documents. Possess communications skills through which effective communication can be held.

PHYSICAL ABILITIES
Seeing to inspect written documents, ability to communicate with District staff, students and public, sitting for extended periods of time, bending, kneeling and reaching to retrieve and file records, and dexterity of hands and fingers to operate a keyboard and other office equipment.
