JOB DESCRIPTION SUMMARY
The FORW-RD Project Coordinator is responsible for managing all recruiting, educational and training activities, and continuously gathers data for reporting, evaluation and management. The program coordinator builds and maintains positive and effective working relationships with stakeholders crucial to the success of the NRT program.

Essential Functions

Manage day-to-day administrative and program functions of the NRT program. Program management will be aimed at coordinating a busy, inclusive, and growing population of graduate student trainees as they move through an innovative, collaboration-rich and assessment-intensive program over a multi-year period, and seeing that they receive quality, safe and productive training experiences both within and outside of the campus environment.

Manage administrative support and accounting for the PI, Co-PIs, Senior Personnel, and the budget for the FORW-RD NRT program. This includes student appointments, P-Card management, travel management, procurement processes.

Maintain active recruitment efforts. This includes managing program's own marketing; the following tools will be used for recruitment:
  • a program website designed to be attractive and helpful to college students seeking a challenging Ph.D. STEM program;
  • posters sent to relevant departments nationwide and LSAMP, McNair and similar programs for STEM undergraduates at various colleges and universities;
  • active recruitment through professional society events (both disciplinary and those serving demographic segments) such as IEEE, RSS, ACS, ASME, etc., and
  • a master database of all interested students maintained by the NRT coordinator.


Organize the preparation/dissemination of documents associated with the NRT program, and more particularly, items such as traineeship documents and records.

Create the agenda and invitations for on-campus and off-campus NRT meetings; NRT Leadership team internal meetings; regular workshops and seminars; potential external advisory board meetings; potential NRT retreats. These meetings may variously combine public and private presentations with additional contributions from participants from on- or off-campus.

The program coordinator may be expected to participate in conferences, seminars and other relevant meetings to promote the NRT program.

Assist in collecting project data, inputting data into NSF reporting website, and writing of required NRT annual reports.

Other Functions

Work collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness. In the performance of work, take initiative and operate with self-direction. Work in partnership with colleagues within the WPI community and across the campus to support the FORW-RD program's priorities. Perform other duties as assigned in support of the mission and goals of the program.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

B.S. degree (in business, public administration, science, engineering, or a related field) or an equivalent combination of education and training. Ability to work effectively with a broad range of professionals. Leadership and organizational planning/execution/oversight skills. Knowledge of university and government policies and procedures regarding research and education. Outstanding interpersonal skills, writing capabilities, and organization. Experience with electronic and web-based workflows to collaborate with other WPI staff for:
  • Timekeeping and university hiring practices, as well as reporting
  • Requisitioner/approver for purchase orders.
  • Travel expense reimbursement preparation/submission.
  • P-Card use, reconciliation, record keeping and monthly online submission of statements.
  • Graduate Student Assistantships/Appointments/ Fellowships/Change forms.
  • Fastlane proposal submission processes and re-budgeting requests as well as other sponsor portals such as Grants.gov
  • Visitor and non-employee reimbursements

Ability to work independently to organize multiple tasks and set priorities for action, take initiative and operate with self-direction in a fast-paced office environment. Excellent interpersonal skills and ability to interact effectively and work productively in establishing and maintaining harmonious working relationships with a diverse population of faculty, staff and students. Ability to organize and prioritize goals; ability to collaborate well to formulate plans and objectives in accordance with overall college goals; ability to identify and implement process improvements. Ability to manage multiple projects simultaneously and to set and meet deadlines while maintaining high standards of accuracy and quality.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

Experience in coordinating large interdisciplinary research projects/programs is preferred.

Experience in marketing and communications for academic or technology activities is preferred.

Experience in writing and/or coordinating reports for multifaceted research programs or consulting studies is preferred.

Web knowledge and PR experience is preferred.

Experience in managing complex budgets preferred.

Physical Demands/Working Conditions

Typical office environment.
This position may require to work some evenings and weekends, as well as travel.

Additional Details

Works under the direct supervision of the FORW-RD NRT program leadership.

The project coordinator may supervise part-time student assistants.

This position is funded through a targeted end date of 2025.
