Job Summary:
SUMMARY:
Under the direction of an assigned supervisor, perform specialized clerical duties and provide technical assistance in support of financial aid programs and services.

ESSENTIAL FUNCTIONS:

Provide technical assistance and information to students regarding financial aid programs and services; instruct students in correct procedures for completion of forms and applications; explain applications, requirements and restrictions; review completed forms for accuracy and completeness.

Evaluate and compare financial aid application with verification documents submitted by the student; determine if documentation is accurate and substantial for file processing; perform initial review of files and clear income, dependency and citizenship discrepancies prior to advisor review. Request supporting documentation required to determine financial need.

Provide assistance and information to students regarding financial aid programs and services; instruct students in correct procedures for completion of forms and applications; explain applications, requirements and restrictions; review completed forms for accuracy and completeness.

Operate and troubleshoot scanner hardware and software. Scan and link financial aid documents to student's identification number for future file review.

Process financial aid applications and forms; type and mail student loan applications, review records for changes in status; request transcripts, records and other information as needed to assure complete and accurate documentation.

Operate a personal computer to obtain, verify or update financial aid information and records; input a variety of information and data to maintain records and files; generate letters and reports.

Develop and maintain the financial aid application database; code and enter data from forms and records; operate back-up systems and generate reports.

Answer telephones and provide information and assistance; explain departmental policies, procedures and functions according to established guidelines; respond to requests for information from district officials, faculty, students and other institutions.

Read, interpret, apply and explain a variety of rules, regulations, policies and procedures related to student financial aid programs; evaluate dependency and citizenship status and request appropriate documentation.

Type and mail student loan applications; dispense loan checks as required.

Establish and maintain a variety of files and records; maintain confidentiality of information and records.

Perform a variety of clerical duties in support of assigned functions; receive, sort and route mail; order and maintain supplies and materials; mail applications, forms and letters.


SECONDARY FUNCTIONS:

Coordinate communication and activities with other district departments and personnel, educational institutions, governmental and private agencies, and the public. Conduct presentations to educate students and parents on financial aid eligibility; participate in college fairs.

Assist in determining student need and eligibility as assigned.

Train and provide work direction to hourly and student workers as assigned.

Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations.

Maintain currency of qualifications for area of assignment.

Perform related duties as assigned.

Minimum Qualifications:
EDUCATION: Graduation from high school or equivalent.

EXPERIENCE: Increasingly responsible clerical experience, preferably including experience involving financial aid activities, procedures, public contact and clerical duties. Personal computer experience in entering and retrieving data in an efficient and effective manner.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:
Modern office practices, procedures and equipment, including telephone techniques and etiquette.
Correct English usage, grammar, spelling, punctuation and vocabulary.

ABILITY TO:
Perform specialized clerical and technical duties in a financial aid office.
Learn to interpret and explain laws, rules, regulations and policies regarding financial aid programs.
Work effectively with students with special needs.
Operate a personal computer, including various software packages, used in assigned area to enter and retrieve data in an efficient and effective manner consistent with requirements of the position. Operate other standard office equipment (e.g., calculator, copier, etc.)
Prepare and maintain financial and statistical records and reports; make mathematical calculations.
Communicate effectively both orally and in writing.
Work independently with little direction; plan and organize work to meet schedules and time lines.
Understand and follow oral and written directions.
Establish and maintain cooperative and effective working relationships with others.
Analyze situations accurately and adopt an effective course of action.
