We are searching for an experienced Auxiliary Accounting Specialist at our Santa Maria facility.

DEFINITION:

Under supervision of Auxiliary Accounting Supervisor, this position is to perform complex technical accounting duties involving responsibility for sets of homogeneous financial records, including reports; to prepare accounting data and analyze financial statements for multiple funds; and to value and promote the mission and vision of the college.

CLASS CHARACTERISTICS:

Under minimal supervision, the incumbent will provide accounting services to multiple programs and funds and accounting duties involving the interpretation and specific application of general accounting policies and procedures. The incumbent also performs the functions of basic accounting services.

ESSENTIAL FUNCTIONS:

Prepares clear and accurate financial statements and reports and analyzes accounting data for multiple funds.

Prepares and processes semi-monthly and monthly payroll for multiple funds.

Reconciles bank statements monthly for multiple funds.

Prepares sales and use tax returns monthly, quarterly, and annually for multiple funds.

Prepares/reviews federal and state payroll tax reports on a quarterly basis for multiple funds.

Reconciles stock portfolio statements monthly; prepares and posts resulting journal entries.

Processes and prepares for mailing annual Internal Revenue Service 1099 and W-2 forms for multiple funds.

Generates computerized purchase orders for multiple funds.

Prepares, posts, and distributes journal entries, cash receipts, and accounts receivable and batches for multiple funds.

Generates invoices for accounts receivable billings for multiple funds.

Checks and verifies accounting work of lower level accounting staff.

Consults with, assists, and supports immediate supervisor and other staff.

Makes online bank transfers within or between multiple Auxiliary and District funds.

Prepares and/or reviews State and Federal regulatory reporting.

Monitors Auxiliary Accounting Services supplies inventory and budget; creates purchase requests as needed.

Performs weekly inventory counts and prepares inventory reporting for the AHC Viticulture & Enology Foundation.

Assists in preparation for interim and annual audit through the preparation and compilation of financial and narrative data and spreadsheets/schedules.

Prepares budget projections and specialized reports upon request.

Performs related duties as required.


WORK SCHEDULE:

Monday - Thursday, 8:00 a.m. - 4:30 p.m. and Friday, 8:00 a.m. - 4:00 p.m.

SALARY AND BENEFITS:

The starting salary is $4,012 per month (range 26, $4,012 to $4,877 per month on the classified bargaining unit salary schedule).

Benefits include medical, dental, life, vision (employee only), salary protection insurance, and eligibility for CalPERS retirement.


Required Qualifications:


Knowledge of:

General full charge bookkeeping, record keeping, and reporting;

Accounting software systems, spreadsheets, and databases;

Payroll reporting, tax laws and procedures;

Sales tax laws and reporting procedures;

Federal and state tax laws and forms where applicable;

Inventory procedures and reporting for financial statements;

Fixed assets reporting for financial reports;

Modern office practices, procedures and equipment;

Oral and written communication skills;

Governmental accounting practices and laws.

Ability to:

Prepare clear and accurate financial statements and reports;

Analyze accounting data for multiple funds;

Make arithmetic calculations quickly and accurately;

Read, interpret, apply, and explain laws, regulations, policies, and procedures;

Operate a computer to process and retrieve data;

Operate a 10-key calculator with speed and accuracy;

Communicate effectively both orally and in writing;

Maintain records and prepare reports;

Plan and organize work;

Type correspondence.

Education and Experience:

An associate of science or higher degree or certificate in accounting and five years of increasingly responsible financial record keeping experience OR any equivalent combination of training and experience. Bachelor's degree preferred.
