Description
This recruitment is being conducted to establish a list of eligible candidates that will be used to fill district-wide, current and upcoming, temporary and regular vacancies for the duration of the list, not to exceed one year. The immediate vacancy is a classified, full-time position at Ventura College.

Under the general supervision of the Registrar, assist in the day-to-day supervision of the activities of the Admissions & Records Department.

Representative Duties
Assist in the planning, organizing, and supervising of the activities of the Admissions & Records Department, including admissions, residence determination, registration, records, veterans, attendance accounting and reporting, and related activities; ensure activities are performed in compliance with district policies and federal, state, and local laws and regulations. E

Assist in directing the acceptance and processing of student applications, program adjustments, grading, and other admission and enrollment activities, including veterans, audits, and athletic eligibility. E

Assist with the supervision of on and off-campus registration activities. E

Assist with the training, selection, and assignment of work to staff; provide input in performance evaluations. E

Troubleshoot and resolve complex non-routine issues pertaining to admissions and records. E

Compile and verify information and data, including assisting with verifying and providing information required for graduation and transfer to various entities; prepare and maintain a variety of records and reports using a variety of software. E

Provide technical information and assistance to students, staff, administrators, and the general public in the interpretation and clarification of federal, state, local, and district policies and procedures pertaining to admissions and records. E

Discuss a variety of sensitive and confidential matters with students, faculty, staff and the public. E

Coordinate with the Information Technology department and other staff and departments to test and troubleshoot admissions, registration, and record?keeping systems, including system upgrades, updates, user acceptance testing, and the implementation of new technology; assist in determining information technology needs for the Admissions and Records Department and coordinate with the Information Technology department to address such needs. E

Assist in the general administration of office functions including assisting with the development and tracking of the department budget, coordinating the maintenance and repair of computer hardware, maintaining inventory of supplies and equipment, and ordering supplies and equipment. E

Assume responsibility of the Registrar in the absence of the Registrar. E

Attend and participate in meetings, conferences, trainings, and committees. E

Perform other duties as assigned.

Minimum Qualifications
A bachelor's degree from a recognized college or university AND two years of experience working in an Admissions and Records department within a college or university including experience using student database systems to perform technical admissions and records functions and interpreting and applying federal and state laws pertaining to admissions and records

OR

An associate degree from a recognized college or university AND three years of experience working in an Admissions and Records department within a college or university including experience using student database systems to perform technical admissions and records functions and interpreting and applying federal and state laws pertaining to admissions and records
Supplemental Information
EXAMINATION AND SELECTION PROCESS:
This is an examination open to the public and current district employees seeking a promotional opportunity. To ensure consideration, please submit your application materials by August 6, 2019.

The examination process will consist of any of the following components:

A) Evaluation of Training and Experience (T&E) = Qualifying (pass/fail)
B) Technical Interview = 100% weighting on final score

Applicants must meet minimum qualifications stated by the filing deadline in order to move forward in the testing process. Those candidates who meet the minimum qualifications will have their application materials reviewed during a Training and Experience Evaluation (T&E). A T&E is an assessment of training and experience that has prepared the candidate for the position. The nine (9) candidates with the highest passing scores on the T&E will be invited to the technical interview. The examination process is subject to change as needs dictate. All communication regarding this process will be delivered via email.

Advancement to the next step of the examination process will be limited to the candidates with the highest T&E scores.

All required documents must be submitted by the applicant. Human Resources Department staff will not upload your documents for you. The VCCCD does not accept letters of recommendation for classified positions. Please do not attempt to attach letters of recommendation to your application.

ELIGIBILITY LIST:
Upon completion of the examination, the eligibility list will be compiled by combining the final examination score with applicable seniority and veteran's credits, if any. The candidates will be ranked according to their total score on the eligibility list. Certification will be made from the highest three ranks of the eligibility list. This eligibility list will be used to fill current vacancies for up to one year from the date of the technical interview.

PROBATIONARY PERIOD:
All appointments made from eligibility lists for initial appointment or for promotion, with certain exceptions, shall be probationary for a period of six (6) months or one hundred thirty (130) days of paid service, whichever is longer. Classified management, police, and designated executive classifications shall be probationary for a period of one (1) year of paid service from initial appointment or promotion.
