Salary:

Anticipated Hiring Salary Range: $2,600 to $2,731 per month

Note: This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.

Overview:

The Administrative Support AssistantII performs a variety of clerical/reception support for Mail Services and Print Services. These duties include: collecting and processing of mail/packages, operation of mail computers. Assisting customers when picking up print jobs and answering customers questions regarding mail or print jobs. Use of shipping software, scales, and maintaining of records, assist with monthly billing processes for print and mail.

Position Summary:

  • Provide excellent customer serviceincluding answeringphone calls,assisting walk-ins, and answering questions regarding job status and delivery status for Mail and Print Services
  • Provide customer service for lost and found
  • Prepareoutgoing parcels using appropriate packing solutions and appropriate computer software
  • Assist customers at the Mail Services counter including selling products and receiving payments
  • Assist with billing processes in Mail and Print Services
  • Schedule meetings for Mail and Print Serviceswith customers as necessary
  • Follow instructions
  • Maintain accurate records and files
  • Maintain regular attendance
  • Maintain effective working relationships with coworkers and customers
  • Perform other duties as assigned

Knowledge, Skills & Abilities:

  • Knowledge of:
    • General mathematical calculations
    • Alphabetical, numerical and non-numerical filing, indexing and cross-reference methods
  • Must demonstrate excellent interpersonal skills with a demonstrated ability to work with the general public, faculty, staff, and students in a competent, diplomatic and open-communication style
  • Excellent customer service skills
  • Demonstratedability to answerphones with multiple lines
  • Demonstratedability to work independently as required, using initiative, discretion and good judgement, in performing clerical work of average complexity
  • Ability to:
    • Write legibly to include and not limited to: log information related to receipt and delivery of mail and parcels; code, sort, post and check materials, respond to email requests and write E-mails to customers when needed
    • Understand and follow verbal and written instructions
    • Recognize and maintain confidentiality of information in compliance with departmental regulations
    • Operate and maintain routine office equipment
    • Plan and organize work to meet the daily needs of the campus community
    • Learn and retain regulations
  • A history of regular attendance and positive performance evaluations

Education and Experience:

  • High school diploma or equivalent
  • Twoyears of general office clerical work to include inventory and billing techniques in a fast work environment

Preferred Skills:

  • Knowledge of postal regulations and requirements for mail and shipping classifications
  • Ability to maintain knowledge of shipping methods and techniques
