Administrative Assistant for the College of Arts and Sciences

Classification: Support Staff - Full-time
Reports to: Dean of the College of Arts and Sciences
Description: The Administrative Assistant for the College of Arts and Sciences is responsible for assisting in the implementation of the university's Music and Honors Programs

Responsibilities
Music Program:
  • Update student records for music majors
  • Set up and update records for clinical hours for music therapy students
  • Communicate with applied teachers about jury, recital, and performance class policies
  • Assist with recital scheduling
  • Schedule piano, organ, and harpsichord tuning and maintenance
  • Assist with the logistics of reorganizing the music library
  • Be a point of contact for guest artists and assist with travel plans and accommodations
  • Meet weekly with Music Coordinator
  • Assist in oversight of student workers
  • Process bi-monthly accompanist payment requests
  • Perform other duties as requested, delegated or assigned
    Honors Program:
  • Coordinate with Associate Dean for the College of Arts and Sciences to update Honors Program manual annually
  • Coordinate with chair of Carroll Honors Center Committee to plan monthly meetings and create agendas
  • Work with Honors Council President and the Associate Dean for the College of Arts and Sciences t to plan major Honors Program Events (Orientation, Luncheon, NCHC fall conference, etc.)
  • Manage Honors Center Email Account
    o Support Student Scholarly Travel Grants - monitor applications and communicate with CHCC weekly for approvals

    o Manage incoming Honors Program applications and Course Contract applications and communicate to CHCC weekly for approvals
    o Respond to all other Honors Center inquiries
  • Work with Associate Dean for the College of Arts and Sciences t to coordinate Celebrate Carroll reservations, catering, scheduling, marketing, etc.
  • Work with Associate Dean for the College of Arts and Sciences t to coordinate Pioneer Scholars Research Program reservations, marketing, publications, etc.
  • Work with Honors Director to coordinate Carroll University chapter of Phi Kappa Phi annual invites and initiation ceremony logistics
  • Semi-annual Honors Program audit and communications to students of their status each semester
  • Send other Honors Center communications as necessary to student body
  • Semi-annual update of Honors Program listserv

    General Education Program:
  • Coordinate with Associate Dean for the College of Arts and Sciences to provide up-to-date information on the General Education program for the university catalog and website
  • Work with the Associate Dean for the College of Arts and Sciences to plan major General Education events (faculty training sessions, public lectures, etc.)
  • Work with the Associate Dean for the College of Arts and Sciences to develop systems for record keeping related to the General Education program

    Qualifications
    Education and/or Experience
  • High school diploma or GED required; Bachelor's degree preferred
  • One year of experience in an office setting required, preferably in higher education
    Technology Skills:
  • Proficiency with Microsoft Office Suite

    Human Relations Skills:
  • Strong interpersonal, communication and organizational skills
  • Attention to detail and accuracy
  • Ability to listen effectively, work independently and as a part of a team
  • Ability to maintain confidentiality
  • Customer service orientation
