Job Summary
The Administrative Assistant will be a strategic partner of the Assistant Vice President for Research Compliance (AVP) and responsible for providing a high level of support to him. This person must strive to understand the role and preferences, and anticipate the needs of the AVP and the position. The person must become a professional problem solver, and be able to work independently in a rapidly changing environment while effectively prioritizing, managing, and completing substantial responsibilities.

Responsibilities*
Under direct supervision, the Administrative Assistant will:
  • Manage a complex calendar and schedule meetings for the AVP
  • Assist with calendars for multiple associate and assistant directors
  • Develop and sustain a level of professionalism among staff and U-M Executive Officers on behalf of the AVP
  • Communicate clearly, professionally, timely and accurately
  • Work collaboratively to plan and coordinate events (e.g. webinars, conferences and trainings)
  • Coordinate travel arrangements and process reimbursements for the AVP and office staff members
  • Arrange, prepare, and host meetings to completion
  • Support various committees (e.g., minute taking, member support)
  • Reconcile multiple PCards
  • Assist with the development of outlines, handouts, slides, graphs and other presentation materials
  • Maintain knowledge of department operations and procedures
  • Support the Institutional Animal Care and Use Committee (IACUC), the Animal Care and Use Office and the Research Safety Compliance Office
  • Address a wide variety of miscellaneous departmental requests and projects

Required Qualifications*
  • Two to four years of performing progressively difficult administrative duties
  • College degree
  • Strong attention to detail and required follow-up tasks
  • Deep dedication to customer service and a team approach to work
  • Ability to handle a variety of tasks concurrently, set priorities and meet deadlines
  • Excellent communication and proofreading skills
  • Advanced skills with Microsoft/Google office suites and comfort with learning new software
  • Proficient with Concur travel and PCard reconciliation
  • Ability to exercise independent judgement, confidentiality and diplomacy

Desired Qualifications*
  • Experience working in an academic environment

  • Expert skills with Microsoft/Google office suites

    Work Schedule
    Work schedule is Monday - Friday 8:00 a.m. - 5:00 p.m.
