About the Position:

The College of Natural Science and Mathematics is dedicated to the principle that teaching and research are intricately mixed and undergraduate research is an integral part of education. By combining quality classroom instruction, student involvement in research, and strong academic advising, we transform the student experience. We are seeking an exceptional individual to join our team as an Administrative Support Coordinator I. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

The Administrative Support Coordinator provides direct administrative support to the department chair and provides front office oversight. Functions as the primary resource for faculty and staff for department and university policies. Organizes, devises procedures, and problem solves issues pertaining to support of faculty and students. Responsible for the oversight of general office file maintenance. Initiates and organizes semester start up tasks for fall, spring, and summer. Hires, trains, and evaluates all office student employees.

Provides administrative coordination for multiple graduate programs, all with unique requirements and issues. Responsible for department admission processing, file maintenance, graduation checks, and graduate student support. Communicates information to faculty advisors, students, and staff regarding varying university policies and procedures relating to graduate programs.

Provides primary staff support for semester and summer course scheduling. Works collaboratively and takes initiative to assist the department chair in building a complex schedule that must accommodate the large FTES demand during the regular semester, and the over 1,400 students who require math classes during the summer. Monitors enrollment and functions as a resource to the chair regarding all university scheduling procedures and policies. Houses all courses and inputs schedule into CMS. Inputs and verifies faculty workload data and maintains the department database for all scheduling data. Maintains records and assists with all curriculum-related changes, including catalog edits. Other duties as assigned.



Essential Qualifications:
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
