Salary:

Salary range: $2,600 - $4,458 (anticipated hiring salary: $2,600 per month)

Note: This is a full-time (40 hours per week), probationary, non-exempt position

Organizational Description:

The Department of Physical Therapy is one of seven departments in the College of Health and Human Services and offers an entry-level Doctorate of Physical Therapy (DPT) degree.

Overview:

Under the direction of the Department Chair and Administrative Support Coordinator, responsibilities and duties include, but are not limited to, providing full range of clerical and technical support for daily operation of the Department of Physical Therapy including the clinicaleducation program, Gait, Balance, and Mobility Research and Education Center (GBMC), and the Musculoskeletal Care Clinic (MSCC). Provide assistance to full- and part-time faculty,students,campus staff and members of the community who need assistance.

Position Summary:

  • Perform general clerical assignments;i.e.answer phones, draft correspondence and/or reports, handle distribution of department mail,maintain inventory of office supplies and order as needed
  • Prepare and maintain comprehensive databasesfor the Gait, Balance and Mobility Center(GBMC),Community Balance Screenings,Musculoskeletal Care Clinic, and department outcome measures
  • Coordinate GBMC and Community Balance Screening schedules and related paperwork
  • Maintain listservs and alumni database
  • Organize, schedule and implement department meetings, special events and fund raising activities
  • Prepare and disseminate materials such as programs and flyers for department events
  • Collect and deposit funds for various department accounts
  • Assist the Director of Clinical Education and the Department Admissions Coordinator with assigned clerical projects
  • Assist the Graduate Coordinator with assigned clerical projects and monitoring of student records and outcome data for the department
  • Assist the Department Chair, Graduate Coordinator, and Director of Clinical Education in maintaining program and student learning outcomes
  • Complete diverse and multiple assignments within designated timelines and with high level of accuracy and efficiency by taking initiative to set priorities and work independently
  • Assist in maintaining clinicaland teachinglaboratory rooms, including the GBMC, by monitoring equipment under the direction of faculty, maintaining inventory, and organization
  • Assist in the development of strategies to improve office management and organization
  • Maintain clean and efficient working environment for the general PT office and Department Chair's office
  • Assist students withquestions: i.e., regardingregistration and financial aid by directing them to the appropriate department on campus
  • Maintain class schedules and rosters
  • Maintain department website for accuracy and updates
  • Maintain faculty and student BB organizations for the department
  • AssistDepartment Chair and Director of Clinical Education in designing and distributing Qualtrics Surveys for department outcomes
  • Maintain all policy and procedure manuals within the department and the on campus clinics
  • Perform projects assigned by faculty and the department administrative support coordinator

Knowledge, Skills & Abilities:

  • General working knowledge of applicable university infrastructure, policies, and procedures
  • Thorough knowledge of office methods, procedures, and practices
  • Fluency in using standard office software packages (Excel, Word, PowerPoint, Adobe, 25Live, Publisher, Google, Qualtrics,Blackboard)
  • Thorough knowledge of English grammar, punctuation, and spelling
  • Active problem solving and effective interpersonal skills

Ability to:

  • Learn, interpret independently, and apply a variety of complex policies and procedures
  • Identify deviations from applicable policies
  • Apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions
  • Perform standard arithmetic functions of a transactional nature, including tracking and comparing data
  • Effectively present standard information in writing
  • Understand, interpret, and communicate procedures, policies, information, ideas, and instructions

Education and Experience:

  • Completion of a high school diploma or its equivalent
  • Two years of recent, responsible, general office clerical experience

Preferred Skills:

  • Experience in maintaining and creating webpages
  • Customer service experience
  • Proficient organizing and prioritizing skills to complete multiple work assignments within designated timelines

Ability to:

  • Work in a flexible collaborative manner with faculty, students and other staff
  • Communicate effectively to faculty, students, administrators, and the general public both over the telephone, email and face-to-face
  • Work efficiently in a busy environment while maintaining a professional andcourteous attitude
