Administrative Manager, Data and Compliance Boston University Chobanian & Avedisian School of Medicine, Student Affairs Office Salary grade 48, Career level P4 Expected salary range $70,000-80,000 Job Description The Boston University Chobanian & Avedisian School of Medicine Student Affairs Office is seeking a motivated, detail-orientated, and collaborative individual to fill the role of Administrative Manager of Data and Compliance. The focus of this role includes primary administrative oversight of SAO's procedures and policies, coordinator of departmental communications, support of the residency application cycle, and management of student compliance requirements. The Administrative Manager serves as a member of a staff with the shared responsibility of addressing the operative needs of the Student Affairs Office with the broader goal of providing outstanding support, guidance and service to medical students. This position is a full-time (40 hrs/wk), in-person position with 1 remote workday available per week. The standard hours for this role are 9am-5pm, with some evening or early morning work required.
Essential Functions:
Overview Communications & Procedural Oversight (40%)
- Lead and direct continuous quality improvement (CQI) and Liaison Committee on Medical Education (LCME) compliance and reporting for:
- Student-facing policies & resources Internal departmental policies & procedures Student Affairs Office (SAO) webpages Class Meeting content & schedule for all class years SAO departmental communication streams (i.e. listservs, Blackboard, calendars, Instagram, etc).
- This oversight will be done through the creation of review & communication (for relevant information) schedules, and establishing documents outlining the CQI process and findings based on the review cycle determined in partnership with the Associate Dean of Students.
- This function area will require adept inter- and cross-departmental communication with medical school partners, leadership, and the student body.
Residency Application Cycle & Partner Orgs Information Management (25%)
- Oversee, in partnership with the Administrative Manager of Career Development, the residency application cycle for graduating medical students.
- This essential functions includes: Collection and tracking of Association of American Medical Colleges (AAMC), National Board of Medical Examiners (NBME), National Resident Matching Program (NRMP), and other relevant organizations' information for a given year's residency application cycle.
- Disseminate and monitor adherence to the relevant information above to the Student Affairs Deans, Staff, and student body through the residency application cycle Drafting, review schedule, and final revisions to the Medical Student Performance Evaluations (MSPEs) - the core component of students' residency applications.
- This includes monitoring Dean and student review of the documentation in adherence with the established timelines for submission.
Student Compliance (25%)
- Time commitment varies throughout the academic year. Establish a distribution, tracking and enforcement system for all student compliance items overseen by the SAO in accordance with orientation schedules and hospital onboarding timelines. Items include: oSchool-required disclosures oBoston Medical Center (BMC) Workday trainings oMask-fit testing oBasic Life Support (BLS) training oOther required institutional trainings and documentation (BU and BMC). oAnnual vaccination requirements for clinical students This person will generate compliance reports and provide updates to SAO leadership and relevant stakeholders, primarily including the SAO, Medical Education, BU Student Health Services (SHS), Medical School Registrar, and BMC HR, IT, and Occupational Health departments.
Other Administrative Responsibilities: (10%)
- All staff in the SAO share the responsibility of supporting the day-to-day operations of the office, and supporting major departmental events and programs.
- Relevant events and programs include: White Coat Ceremony, Orientations, Match Day, Awards Ceremony, and Graduation. All SAO staff members support these and other events in both preparation and execution.
Required Skills
- Applicants must submit a resume and cover letter to be considered for this position.
- Bachelor's Degree and 5-7 years of related experience.
- Administrative experience in an office setting.
- Experience in education, higher education, and/or medical education is a plus.
- Able to prioritize and multitask; event planning experience; sound judgment; the ability to work independently as well as in a team environment.
- Proficiency in Wordpress, Outlook, and Microsoft Office applications - demonstrated Excel proficiency particularly important.
- Demonstrated interest in and willingness to learn about medical education, physician career planning, AAMC, NRMP and other organizations involved in medical students' career pathways.
- Strong organizational skills. Must be proficient in information and data management, able to keep organized and up-to-date on information in various channels at all times.
- Strong interpersonal and communications skills.
- Able to maintain a high level of professionalism; ability to interact with many individuals at all levels; ability to maintain appropriate level of confidentiality in the office.
- Demonstrated ability to work both collaboratively and independently in a student-facing team environment.
