Job Summary
The Department of Neurology is seeking a Division Administrative Support professional to provide administrative support to Neurology divisions, including coordinating meetings and activities, supporting program operations, assisting with day-to-day administrative needs, and ensuring division-level processes align with departmental policies and procedures.
This role also coordinates and manages the department's weekly Grand Rounds program, including scheduling and supporting guest speakers, managing related administrative logistics, coordinating with CME to ensure accreditation requirements are met, saving and archiving session recordings, and coordinating weekly Grand Rounds breakfasts.
In addition, the position provides audiovisual setup and technical support for monthly faculty meetings.
This is a hybrid role with the opportunity for remote work.

Responsibilities
The Department of Neurology is seeking a Division Administrative Support professional to provide administrative support to Neurology divisions, including coordinating meetings and activities, supporting program operations, assisting with day-to-day administrative needs, and ensuring division-level processes align with departmental policies and procedures.
This role also coordinates and manages the department's weekly Grand Rounds program, including scheduling and supporting guest speakers, managing related administrative logistics, coordinating with CME to ensure accreditation requirements are met, saving and archiving session recordings, and coordinating weekly Grand Rounds breakfasts.In addition, the position provides audiovisual setup and technical support for monthly faculty meetings.
- Provides administrative support to Neurology divisions, including coordination of meetings, programs, and day-to-day operational support.
- Develops and implements program goals and objectives in alignment with departmental priorities.
- Performs procurement for assigned programs and activities, including monitoring and tracking related expenditures.
- Advises faculty, staff, students, and other stakeholders regarding program policies, goals, and related administrative or technical issues.
- Prepares reports, financial statements, and records on program status and progress for management and external stakeholders, as applicable.
- Performs general administrative and office duties such as preparing correspondence, ordering supplies, and processing mail.
- Processes and reconciles accounts for departmental purchases and employee travel reimbursements.
- Performs other administrative specialist duties in support of the mission and function of the department, as required.
- Supports meeting coordination, including scheduling, maintaining professional memberships, and reviewing and distributing correspondence.
- Coordinates schedules for faculty and educational programs, including residents and medical students.
- Coordinates and manages the department's weekly Grand Rounds program, including guest speaker scheduling, CME coordination, session logistics, recording retention, and weekly breakfast coordination.
- Provides audiovisual setup and technical support for both the weekly Grand Rounds program andmonthly faculty meetings.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Office Administrator, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Office Administrator, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.
Office Administrator, IV: Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.
