Job Summary
The Administrative Program Coordinator in Summer Conferences plans and implements activities of a program within a department, ensuring goals and objectives are in accordance with established criteria set by Housing and Dining Programs. Interprets program policies and advises program participants on the application of regulations. This role involves leading a team of student summer conference coordinators while providing support to a broader group of student staff.
Responsibilities
- Assists in coordinating program activities within Summer Conferences.
- Develops and implements program goals and objectives Housing and Dining Programs outlines.
- Monitors program quality effectiveness, and research improvement methods.
- Advises staff, students and others regarding program policies, goals and related technical issues.
- Prepare reports, financial statements and records on programming status and progress for management and outside agencies.
- Assists with program related publications and promotional or educational materials, including social media and the Summer Conference webpage.
- Supervises Summer Conference Coordinator student staff, schedules meetings and other program related functions, under the direction of the Summer Conference Manager.
- May assign, direct, and review work of support staff.
- Provides administrative support and reports to The Summer Conference Manager.
- Provides administrative support as needed to Residential Services, Housing & Dining Programs.
- Meets regularly with the Summer Conference Manager and the Resident Services Team to ensure goals are met.
- Willingness to handle challenges, including unforeseen logistical hurdles and limited personnel availability.
Outside Of Summer Months
- Assist with responding to requests for proposals (RFP).
- Summer Conference review for improvements.
- Backup help with events during non summer months.
- Other duties as assigned.
As the Administrative Program Coordinator, you will directly oversee a team of student summer conference coordinators that work at the desks and coordinate with our clients. The student summer conference coordinators are key to the success of the Summer Conferencing.While all student leaders fall under your purview, student summer conference coordinators are key to this position. As you physically cannot be in two places at once or on campus 24/7 despite that's when events may be occurring it will be important for you to schedule your student staff based on the conference demand.
Additional Tasks:
Partnerships
This position works closely with many departments on campus, especially those involved in supporting summer conferences. It is this position's responsibility to maintain those relationships to exceed expectations set by the Summer Conference Manage and Housing and Dining Programs.
This position will coordinate with facilities in maintaining the sleeping space within the residence halls cleaning schedules, maintenance needs, and lock changes.
IT
This position will be need to learn and have a working knowledge of StarRez, the property management system used for summer conferences. We reserve rooms, check guests in and out, generate and invoice, and maintain an accurate record of the room inventory.
This position will need to learn and understand the door access to the residence hall buildings for safety purposes.
Final Notes:
Summer Conferences is a fast-paced environment with high energy. We host approximately 10,000 guests during summer. Many of the guests are attending a youth camp. They will experience the University of Utah for the first time. This is our opportunity to showcase our campus through delivering an excellent experience for everyone that visits us over the summer. Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
- Preferred experience supervising or leading a team, with experience working with younger individuals or students considered a plus.
- Demonstrated ability to work independently, analyze and make decisions related to program content.

- Demonstrated human relations and effective communication skills are also needed.
- Working knowledge of Residential Buildings preferred.

Work Schedule Summary: Business hours with some evenings/weekend hours depending on levels of business. Vacation time will be limited in the summer months. Extra hours may be required. Will be sharing after hour on call responsibilities.
