The University of Notre Dame (ND.jobs) is accepting applications for a Washington Hall, Assistant Director.

The Assistant Director for Washington Hall (AD-WH) reports directly to the Director of Student Activities Office. The AD-WH is responsible for the development and supervision of students serving as Building Managers, Ushers and Tech crews, oversees the day-to-day services operations of Washington Hall. The AD-WH approves and coordinates use by student groups of meeting and event spaces in Stepan Center, coordinates special event logistics in association with campus partners and department tenants. This position is also responsible for coordinating preventive maintenance and repairs of Stepan Center. The AD-WH is a 12 month position with some night and weekend responsibilities year round.

Essential Duties and Responsibilities include:

Event Coordination & Facility Management:
  • Approve and coordinate use of spaces within Washington Hall, Stepan Center and Creek House during the academic year only.
  • Coordinate maintenance and custodial operations with Facilities and Building Services departments for Stepan Center and Creek House.

    Student and Staff Employee Development:
  • Recruit, interview, hire, train, and supervise more than 20 student employees serving as DSC Building Managers, Information Welcome Desk Attendants, and Event Assistants.
  • Oversee scheduling to ensure building and information desk operations are fully staffed seven days a week during the academic year as needed. Tentative times might be from 8:00 am to 2:00 am every day; Building Managers are staffed 4:00 pm until 2:00 am on weekdays, and 8:00 am until 2:00 am on weekends).
  • Meet weekly or bi-weekly with student employee groups to review building and services operations.
  • Coordinate and lead intensive multi-day training sessions at the start of the fall semester and a full-day training session at the start of the spring semester to prepare student employees for responsibilities in emergency and safety protocol, operational logistics, and to develop a team-oriented work ethic.
  • Recruit, interview, hire, train, and supervise an exempt program manager to assist with daily operations of the Washington Hall and Stepan Center operations and programs
  • Meet weekly or bi-weekly with program manager to review building and services operations.

    Tech Prep:
    Responsible for ensuring the safe and timely preparation of scenic, lighting and sound elements for all events in Washington Hall and other Student Activities venues. AD-WH participates in stage management, lighting and/or sound for the professional presenting season and events in Student Activities venues.

    Shop Supervision:
    Oversees the use of the scenery shop, including the training of student users in Washington Hall, Stepan Center and other Student Activities venues ensuring the safety of those using the equipment and facility.

    Maintenance:
  • Responsible for the maintenance of technical stage equipment and facility infrastructure of Washington Hall and Stepan Center. AD-WH coordinates and schedules Maintenance, Security, Parking, Building Services and Housekeeping as needed for regular upkeep and special needs.
  • Prepares the annual building survey of needed improvements while managing a long term plan for equipment replacement and upgrades.

    Communications and Special Events:
  • Manage social media accounts and website content, printed promotion, and information material for Washington Hall and Stepan Center operations.
  • Host periodic meetings with representatives of departments, businesses, and student group tenants with designated space in the venues and serve as primary point of contact for building communications.
  • Ensure campus information and the details of scheduled activities in Washington Hall are communicated with students, faculty, staff and guests effectively and hospitably.
  • Calibrate messaging consistent with department, division, and university standards.

    Campus Partner Liaison:
    Liaison with campus partners in Building Services and Facilities Maintenance to ensure custodial operations and routine maintenance for DSC, Legends, Creek House, and Ricci Family Fields Support Facility are maintained to acceptable standards.

    Other Responsibilities:
  • Serve as backup support for other Student Activities facilities and programs as needed.
  • Support other Student Affairs and Student Development Team program initiatives as needed.

    There is a preferred candidate for this position.

    Minimum Qualifications:
    A Masters Degree in College Student Personnel, higher education, or related area is preferred. Bachelors degree in Event Management, Communications, Psychology, Sociology or related field is required. Minimum of three or more years of experience in student development, ideally in Catholic higher education, with a focus on facilities management or event management.
    Qualifications include exceptional verbal and written communication and interpersonal skills necessary to interact effectively with a diverse group that includes students, staff, faculty, parents, alumni, and the public. Additional qualifications include possessing a general familiarity with personal computer and strong organizational skills. The successful candidate will also possess a commitment to formulating educational opportunities, consistent with the mission of a Catholic University founded by the Congregation of Holy Cross.
