Officer Assistant


The University of Notre Dame (ND.jobs) is accepting applications for a Officer Assistant.

This position provides administrative support to the VP, Associate Provost, and Dean of the Graduate School including managing calendars, preparing meeting materials, arranging travel, and responding to inquiries on behalf of the Dean/Assoc. Provost. This position serves as a central point of communication and coordination for the Graduate School team, serves as the point person from the Graduate School in operational planning for the Graduate Studies and Research Advisory Council, and leads the operational planning and execution for several Provost level committees and initiatives including support to the Provost's Advisory Committee, the Academic Council, the University Committee on Women Faculty and Students, and ND Lead.

The Officer Assistant will manage all information requests (voice, data, written) for the Dean's Office. Organize and prepare customized correspondence, reports, and presentations. Ensure meeting preparations are complete, such as agenda preparation, invitations, and room reservations. Assist with fulfillment of Deans/Assoc. Provost's academic and research responsibilities. In addition to supporting the Dean/Assoc. Provost's office, this position is responsible for office supply purchasing and maintenance work requests for the Grad School. To be effective, this role must work cooperatively with various University constituencies, be a superb communicator, and prioritize multiple duties to achieve the desired results within established timeframes.

Minimum Qualifications:
Multi-level communication skills and professional experience with a chair, department head, dean, or other executive is essential. The ability to manage competing priorities is critical. An extreme sensitivity to confidentiality is a must. One must have the interpersonal and conflict management skills to communicate with a wide constituency, assessing the criticality of the inquiry, and directing people to other offices when appropriate. Advanced ability with the Google suite and MS Office is required, particularly PowerPoint, Word, and Excel. Must have sufficient knowledge of higher education to transform a rough draft or outline to a polished final product for presentation to/by the Dean/Associate Provost.
