Job Description


Under the direction of the Vice President, perform a variety of complex, specialized and supervisory duties in the development and preparation of the college catalog and class schedules and related instructional operations functions; supervise and evaluate the performance of assigned staff.

  • Coordinate, supervise and participate in the preparation, editing, revision, proofreading, printing and distribution of the college catalog.
  • Coordinate, supervise and participate in the preparation, editing, revision, proofreading, printing, and distribution of fall, spring and summer class schedules; supervise schedule revisions and updates including preparation and distribution of class schedule addendums.
  • Coordinate, supervise and participate in the preparation, proofreading and distribution of faculty hire letters including hire letter revisions, updates and cancellations; calculate and verify course loads (LED), Taxonomy of Programs (TOPS) and budget key/object codes; work with department chairs, coordinators and division deans on load and other payroll issues and determine appropriate action as needed; maintain confidentiality of payroll records.
  • Update and maintain Reassigned Time allocation assignments and incorporate into full-time faculty loads; verify for accuracy. Process banking and load averaging requests.
  • Supervise and evaluate the performance of assigned staff; assign and review work and participate in the selection of new personnel as assigned.
  • Participate in various Curriculum Committee activities; review curriculum proposals; assist faculty with selection and completion of appropriate forms; process and track alignment and related forms, and conduct related research; prepare committee meeting agenda and backup materials; attend meetings; take, prepare and distribute minutes; prepare board packet summarizing curriculum actions for the academic year.
  • Coordinate, supervise, and track faculty evaluations; determine faculty to be evaluated in compliance with United Faculty Contract guidelines; oversee the typing of student comments and the compilation and distribution of summary reports; maintain confidentiality of evaluation records.
  • Coordinate and participate in the preparation, revision, proofreading and distribution of college course outlines in accordance with state regulations.
  • Prepare and maintain a variety of records, files and reports related to instructional operations functions; conduct research and compile information for various reports.
  • Operate a personal computer including software programs used in assigned area to enter, edit, revise, retrieve and generate a wide variety of documents and reports in an efficient and effective manner.

  • Maintain historical resource records for curriculum including board packets, curriculum proposal approvals, and master course history file.
  • Update and maintain course LED list based on negotiated LED values for new and changed courses.
  • Coordinate and prepare correspondence and other materials as necessary.
  • Communicate with various departments and personnel, State Chancellor's Office and other outside organizations to coordinate activities and exchange information; participate on various committees as assigned.
  • Attend various meetings as required.

EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and two years college-level course work in education or related field and three years of increasingly responsible related experience including one year in a lead capacity.

Typical office environment subject to multiple ongoing deadlines and frequent interruptions and contact with staff and faculty.
