Administrative Coordinator

About the Opportunity

Responsibilities:

The Administrative Coordinator oversees the function of the Center for International Affairs and World Cultures, supports college-wide events, and provides administrative support as assigned across the college. This position reports to the Director of the Center, with a dotted-line to the Administrative Operations and Events Manager. They also work closely with staff in the CSSH Office of the Dean on events as well as administrative support initiatives. This position also works closely with staff in the Department of Cultures, Societies and Global Studies and the International Affairs Program, providing back-up support and serving as a member of a team within that group.

For the Center, this position will coordinate events and maintain and audit the Center budget and additional event budgets as appropriate. Manage the website, prepare communications including e-mail, social media, publications, and programs. Handle public relations and publicity for Center events. Provide support to Center faculty as necessary. Maintain Center equipment and supplies. Serve as the first voice and face for the Center, hire and train work-study students. Manage scheduling of conference rooms and other space. Coordinate travel and logistics for visitors, speakers and others involved in events or with affiliation to the Center. Assist with other projects as necessary. Prepare mailings, provide copying and other administrative tasks. Serve as front desk back up for other administrators located on the second floor of Renaissance Park. Occasional evening work will be necessary.

For the College, this position will provide support for college-wide events, working with the Administrative Operations and Events Manager. As needed, the position will be assigned to provide administrative support to specifics units when staff vacancies arise. This is an excellent opportunity to gain exposure to all areas of operations of a college.

Qualifications:

Bachelor's degree plus two to four years of administrative experience, preferably in an academic environment, is required. The employee must be a clear and competent writer, skilled in Microsoft Office products. Must have the technical skills for website management and communicating on social media, as well as skills for events and meeting arrangements and management. Must be able to create, monitor, and maintain a budget. Must have excellent public relations skills, able to communicate effectively with the public, faculty, vendors, designers, and administrative contacts throughout the university. Must be highly organized, able to create and coordinate calendars, meeting and event timelines, and adjust arrangements; and maintain accessible files and manage multiple events, programs and projects at once. The ideal candidate will enjoy a wide variety of work and learning new skills and tasks.

The Coordinator needs to be flexible and responsive to changing demands and circumstances, creative, self-directed, and an effective member of a team. Problem solving skills and ability to work effectively with a diverse population are essential.
