Responsibilities*
Coordinate weekly EEB and MCDB seminar series. Provide staff support for departmental seminar committee; arrange travel, hosting, seminar arrangements and itinerary for speakers; process online travel and hosting reports for reimbursement; process forms to obtain speaker honorarium; assist with event advertising via posters and website updates.

Work with symposium committees to organize and oversee the logistics of two annual symposia, communicate with invited speakers (10-25) and set up itineraries, oversee the symposia venues and audio visual equipment; handle travel arrangements and accommodations for invited speakers, arrange transportation to/from airport, coordinate speaker reimbursements. Process honorariums. Update symposia website and process registrations.

General Office Support - provide general office support for EEB, MCDB, Museum of Paleontology, UMBS, LSA Business Office, LSA HR, Natural History Museum. Respond to telephone, email, and walk-in inquiries for 600+ building occupants and route to the appropriate person or location as needed; assist faculty, staff, and students regarding office procedures; organize and maintain administrative files, financial reports, and shipping forms. Organize, monitor and order office supplies for general office use, EEB and MCDB departments, and shared kitchens, copiers, and classrooms in BSB. Gather and prepare information for department phone directory, maintain various email groups; reconcile monthly credit card statement. Book conference rooms (11) and shared classroom, coordinate training and maintenance for 6 bizhub units in the building. Maintain mailboxes for building.

Provide administrative support to Chair, faculty, students, and administrator in EEB, prepare and distribute agendas, minutes, and materials for meetings and seminars; schedule and finalize travel and hosting arrangements for faculty and students; schedule and organize meetings. Provide staff support to various departmental committees, including faculty search committee(s). Act as liaison between Shared Services staff and department member for reimbursements. Act as backup to EEB Executive Secretary. Serve as point of contact for visitors, outside inquiries, vendors, deliveries, and mail service.

Required Qualifications*
Three to five years of progressive administrative experience. Able to establish priorities, multitask and meet deadlines. Strong communication skills, including vocabulary, spelling, punctuation, and grammar required. Excellent time management and organizational skills are necessary. Strong customer service skills are necessary; ability to work effectively, independently and within a team environment. Must be proficient in Microsoft Office applications.
