General Description
Under the direction of the Director of Financial Aid, the Financial Aid Assistant provides students, staff and the public with financial aid information and processing assistance; performs a variety of specialized and technical duties in support of financial aid programs and services; and receives, reviews, and validates financial aid documents in accordance with District policies and procedures and federal, state, and local requirements. The Financial Aid Assistant assists students in completing financial aid forms, reviewing forms for accuracy, and processing forms upon completion.
This position is a 12-month, full-time position in the Visalia Campus.
Monday - Thursday, 9:00 a.m. - 6:00 p.m.
Fridays 7:45 a.m. to 4:45 p.m.

Job Duties
Job duties of the Financial Aid Assistant include:
- Greet students, visitors and others, and provide information and assistance regarding financial aid programs and services.
- Assist students with understanding and completing financial aid applications and forms; interviews students regarding completeness of information and accuracy of a wide variety of financial aid forms and documentation; verifies student status and academic progress; explains financial aid policies and procedures; refers students to other departments as necessary to obtain required documentation.
- Perform a variety of technical duties in support of the program; provide technical assistance and information to students, parents, and staff regarding financial aid programs and services as well as various benefits and their applicability to individual situations; explain application requirements and restrictions.
- Be familiar with general Student Services Department policies, procedures, and forms; assist students with various Student Services questions.
- Assist and support outreach staff with financial aid workshops, orientations, and presentations on and off-campus. Present and participate in financial aid educational workshops and outreach events; support other District events where financial aid support is requested; drive a motor vehicle to attend off-site meetings, workshops, and other special events.
- Maintain current knowledge of state and federal laws, rules, and regulations pertaining to financial aid policy and procedure.
- Attend workshops, conferences, and trainings as needed to remain current in regulatory changes, technical requirements and processes.
- Compile and tabulate statistical data; compile information from various sources and prepare appropriate forms, lists, or reports.
- Use highly automated financial aid systems including Banner, BDMS, WebGrants, and various Federal Student Aid processing applications to update student records and assure compliance with local, state, and federal audit standards.
- Demonstrate sensitivity to and understanding of historically minoritized groups; participate in professional development activities to increase cultural competency to enhance equity-minded practices within the District.
- Perform related duties as assigned.
Qualifications
Minimum Qualifications (Education & Experience):
Any combination equivalent to:
- High school diploma or GED supplemented by college-level coursework in business administration, accounting, or a related field.
AND
- Two years of increasingly responsible clerical and program support experience, preferably in an educational or accounting office.
Licenses and Certificates:
- Valid California driver's license
- An incumbent must be insurable at the "standard rate" by the employer's insurance carrier at all times while employed in this classification by the College of the Sequoias.

Knowledge and Abilities
Knowledge of:
- Student financial aid processes and procedures including applicable federal and state laws and regulations regarding student grants and loans.
- Mathematical principles and practices.
- English usage, spelling, grammar and punctuation.
- Principles of business letter writing and basic report preparation.
- Interpersonal and customer service skills using tact, patience, and courtesy.
- Methods and techniques of conflict resolution.
- Knowledge of the Family Educational Rights and Privacy Act, Title IV, cybersecurity and other state and federal laws protecting student confidentiality and privacy rights.
Ability to:
- Understand, apply, and ensure compliance with administrative and office policies and procedures as well as pertinent laws, regulations, and ordinances.
- Work independently and responsibly with minimal supervision using independent judgment and initiative.
- Plan, organize, and prioritize work to meet schedules and deadlines.
- Work under steady pressure with frequent interruptions and a high degree of public contact by phone or in person.
- Demonstrate effective oral and written communication skills and communicate technical information clearly and concisely.
- Establish and maintain effective working relationships with students, staff, and the public.
- Exercise good judgment and discretion in analyzing and resolving confidential, difficult, and sensitive situations.
- Operate office equipment including computers and supporting word processing, spreadsheet, and database applications.
- Adapt to changing technologies and learn functionality of new equipment and systems.
